Why Ayurveda retreats need more than spa software

A 14-day Ayurvedic programme is a sequence the vaidya prescribes — consultations, therapies, diet and routine that change as the guest responds. AtithiSetu plans and tracks the whole protocol, not isolated appointments.

Contraindications and procedure consent gate every session, herbal medicines are checked against the guest’s own, reactions reach the practitioner of record, and the cleaning, calibration, temperature and biomedical-waste logs are kept as you work. Incidents, complaints, staff training and licences have their own registers, so the quality programme an assessor asks about is in the same system.

The complete Ayurveda guest journey

  1. Enquiry & booking. 7, 14 and 21-day Ayurveda packages with room types, prorated stays, deposits and GST-inclusive quotes. Package entitlements (therapies, consultations, meals) are created with the booking.
  2. Pre-arrival. Consent forms and a pre-arrival checklist; the guest receives a sign-in code for the guest app by email, SMS or WhatsApp.
  3. Arrival & consultation. The vaidya records the Ayurvedic consultation, Prakriti (dosha) assessment, the eightfold ashtavidha pariksha with nadi, baseline vital signs, a pain score and a fall-risk screening, allergies, the guest’s current medicines and goals, and a provisional diagnosis coded to NAMASTE, ICD-11 or ICD-10 — and becomes the practitioner of record for the stay. Pre-Panchakarma investigations are ordered here, and each result is flagged against its reference range, with a critical value going straight to the doctor.
  4. Personalised wellness plan. Therapies, diet protocol, yoga and activities, and the daily routine (dinacharya) — versioned as the plan is revised during the stay.
  5. Herbal medicines. Churnas, kashayams, arishtas and ghritas prescribed with dose, timing against food and anupana, checked for herb–drug and herb–herb interactions, and recorded dose by dose as given, refused or held. High-alert preparations such as those with visha dravya carry a dose limit and need a second person’s check at every dose.
  6. Therapy scheduling. Therapist, treatment room and time are booked together. Vamana, Virechana, Basti and Raktamokshana can be prescribed only by a doctor privileged for them and need their own consent — recorded in the guest’s language, with the interpreter or witness — and a session cannot start on equipment that is overdue for calibration or not cleaned since its last guest.
  7. Satvik kitchen & farm. Diet prescriptions drive each guest’s meal plan and kitchen tickets, allergen conflicts are blocked, and farm harvests are planned against demand.
  8. During the stay. Guests see their day, meals, therapies and bill in the app, give daily feedback, rate sessions and raise a concern, tracked against a one-day acknowledgement target; the practitioner reviews vitals, missed doses, reactions and feedback every day.
  9. Discharge, checkout & billing. The practitioner issues a discharge summary with the final diagnosis, a reconciled list of medicines to continue, change or stop, the home routine, diet and follow-up; a guest who needs hospital care is referred or transferred with a summary. Package inclusions are consumed, not billed twice; extras, herbal products and add-on therapies go on one GST tax invoice with credit notes when needed.

Is there a guest app, and which languages does it support?

Yes. Guests sign in with a one-time code and see their programme, meals, therapies and bill, give daily feedback, rate sessions, raise a concern and get reminders by push or WhatsApp. The app is available in English, Hindi, Malayalam, German and Russian.

Can our doctors record dosha assessments and prescribe therapies and diets?

Yes. Vaidyas record the consultation and Prakriti (dosha) assessment, then approve a wellness plan with therapies, a diet prescription, yoga and activities and a daily routine. Plans are versioned, so every revision during the stay is kept.

How does the software keep guests safe during therapies, meals and medicines?

Contraindications and procedure-specific consent gate therapy sessions, a session cannot start on equipment that is overdue for calibration or not cleaned since its last guest, every meal is checked against the guest’s allergies before it is served, and reactions — during a session, after food or to a herbal medicine — escalate to the guest’s practitioner of record.
