Why Ayurveda retreats need more than spa software
Spa software books slots. Ayurveda needs a protocol.
A 14-day Ayurvedic programme is a sequence the vaidya prescribes — consultations, therapies, diet and routine that change as the guest responds. AtithiSetu plans and tracks the whole protocol, not isolated appointments.
The kitchen is part of the treatment.
Diet prescriptions become meal plans for each guest, allergens are checked before a plate leaves the pass, and the kitchen knows who is on a kitchari or Pitta-pacifying diet today.
Clinical safety — and the records an inspector asks for — cannot live in a notebook.
Contraindications and procedure consent gate every session, herbal medicines are checked against the guest’s own, reactions reach the practitioner of record, and the cleaning, calibration, temperature and biomedical-waste logs are kept as you work. Incidents, complaints, staff training and licences have their own registers, so the quality programme an assessor asks about is in the same system.
The complete Ayurveda guest journey
- Enquiry & booking. 7, 14 and 21-day Ayurveda packages with room types, prorated stays, deposits and GST-inclusive quotes. Package entitlements (therapies, consultations, meals) are created with the booking.
- Pre-arrival. Consent forms and a pre-arrival checklist; the guest receives a sign-in code for the guest app by email, SMS or WhatsApp.
- Arrival & consultation. The vaidya records the Ayurvedic consultation, Prakriti (dosha) assessment, the eightfold ashtavidha pariksha with nadi, baseline vital signs, a pain score and a fall-risk screening, allergies, the guest’s current medicines and goals, and a provisional diagnosis coded to NAMASTE, ICD-11 or ICD-10 — and becomes the practitioner of record for the stay. Pre-Panchakarma investigations are ordered here, and each result is flagged against its reference range, with a critical value going straight to the doctor.
- Personalised wellness plan. Therapies, diet protocol, yoga and activities, and the daily routine (dinacharya) — versioned as the plan is revised during the stay.
- Herbal medicines. Churnas, kashayams, arishtas and ghritas prescribed with dose, timing against food and anupana, checked for herb–drug and herb–herb interactions, and recorded dose by dose as given, refused or held. High-alert preparations such as those with visha dravya carry a dose limit and need a second person’s check at every dose.
- Therapy scheduling. Therapist, treatment room and time are booked together. Vamana, Virechana, Basti and Raktamokshana can be prescribed only by a doctor privileged for them and need their own consent — recorded in the guest’s language, with the interpreter or witness — and a session cannot start on equipment that is overdue for calibration or not cleaned since its last guest.
- Satvik kitchen & farm. Diet prescriptions drive each guest’s meal plan and kitchen tickets, allergen conflicts are blocked, and farm harvests are planned against demand.
- During the stay. Guests see their day, meals, therapies and bill in the app, give daily feedback, rate sessions and raise a concern, tracked against a one-day acknowledgement target; the practitioner reviews vitals, missed doses, reactions and feedback every day.
- Discharge, checkout & billing. The practitioner issues a discharge summary with the final diagnosis, a reconciled list of medicines to continue, change or stop, the home routine, diet and follow-up; a guest who needs hospital care is referred or transferred with a summary. Package inclusions are consumed, not billed twice; extras, herbal products and add-on therapies go on one GST tax invoice with credit notes when needed.
Modules in Ayurveda Hospital & Wellness Centre
Ayurvedic Consultation & Dosha Assessment
Structured consultation records, Prakriti (Vata, Pitta, Kapha) assessment, allergies, contraindications and treatment goals for every guest.
Personalised Wellness Plans
Practitioner-approved plans combining therapies, diet protocol, yoga, activities and daily routine — revised with full version history.
Therapy Scheduling with Safety Gates
Book therapist, treatment room and slot together; contraindication and procedure-consent gates stop unsafe sessions, and adverse observations escalate to the doctor.
Herbal Medicines & Interaction Checks
Prescribe from your formulary with dose, timing and anupana; every prescription is checked against the guest’s own medicines and other herbs, and each dose is recorded as given, refused or held. High-alert medicines need a second person at administration.
Ashtavidha Pariksha & Vital Signs
The eightfold examination — nadi, mutra, mala, jihva, shabda, sparsha, drik, akriti — in structured classical terms, with blood pressure, pulse, temperature and SpO₂ trended across the stay.
Procedure Consent & Discharge Summaries
Separate, versioned consent with its own risk disclosure for Vamana, Virechana, Basti and Raktamokshana, in the guest’s language with the interpreter or witness recorded, and a practitioner-issued discharge summary with reconciled medicines that can only be amended with a reason.
Diagnosis, Investigations & Referrals
Provisional and final Ayurvedic diagnoses coded to NAMASTE, ICD-11 or ICD-10 with a morbidity report; investigations ordered and resulted with reference ranges and critical-value alerts; emergencies and referrals out recorded with the summary sent.
Therapeutic Diet & Satvik Kitchen
Diet prescriptions become per-guest meal plans and kitchen tickets, with allergen conflict checks before food is served.
Farm-to-Table Harvest Planning
Plan herb and vegetable harvests against upcoming meal demand, see shortfalls early and raise purchase requisitions automatically.
Guest Wellness App
Guests follow their programme, meals, therapies and bill; give daily feedback and rate sessions — in English, Hindi, Malayalam, German or Russian.
All-inclusive Packages & GST Billing
Package entitlements tracked session by session, extras billed separately, GST tax invoices, credit notes and GSTR-1 exports.
Practitioner Daily Review
Each guest has a practitioner of record, who sees out-of-range vitals, interaction alerts, missed doses, reactions and open escalations for their guests in one daily review.
Herbal Store, Oils & Inventory
Therapy oils and herbal medicines tracked by batch and expiry, storage conditions with a temperature log, supplier price lists, and retail sales of products to the guest folio.
In-house Pharmacy & Compounding
Taila, ghrita and churna made on site are recorded batch by batch from their raw herbs, released only after a second person’s check, and traceable back to each supplier and forward to every session.
Equipment, Hygiene & Biomedical Waste
Droni tables, steamers and measuring devices with maintenance and calibration schedules, a cleaning log between guests, and a biomedical-waste register by colour category with collection manifests.
Supplier Qualification & Goods Inspection
Suppliers carry their GSTIN and AYUSH, drug or FSSAI licence and are qualified by a second person; every delivery is inspected, and rejected goods never enter stock.
Patient Safety & Quality Programme
An incident register for falls, burns, medication errors and near misses with root-cause analysis and corrective actions, sentinel events investigated within three days, a complaint register fed by the guest app, and monthly quality indicators.
Staff Credentials, Licences & Recurring Checks
Training, immunisation and per-procedure privileges for each clinician; the centre’s own licences with renewal alerts; and recurring checks — hand hygiene audits, emergency trolley, fire drills, water quality, power back-up — with corrective action when something fails.
Privacy by Design for Health Data
Clinical records restricted by role, consent-based processing, a log of who opened each clinical record, and data hosted in India under DPDP 2023.
Reminders on Push & WhatsApp
Session reminders, schedule changes and an evening check-in on the guest’s phone — with no clinical detail on the lock screen.
Control Tower & Reports
Occupancy, therapist utilisation, programme adherence, guest feedback trends and revenue — the numbers a retreat director runs on — plus the quality indicators and morbidity report a hospital reviews.

Guides
Frequently asked questions
What is Ayurveda retreat management software?
It is software that runs an Ayurveda resort or wellness retreat end to end: package bookings, Ayurvedic consultation and dosha assessment, personalised wellness plans, therapy scheduling, therapeutic diet and kitchen, guest communication and billing. AtithiSetu provides all of these on one platform, together with its hotel PMS, spa, restaurant, accounting and HRMS modules.
Is AtithiSetu suitable for Ayurveda resorts, wellness retreats and Ayurvedic hospitals in India?
Yes. Ayurveda Hospital & Wellness Centre is built for Ayurveda resorts, wellness retreats, Ayurvedic hospitals and centres with residential programmes, yoga and naturopathy retreats, and hotels running an Ayurveda wing — in Kerala and across India.
Can our doctors record dosha assessments and prescribe therapies and diets?
Yes. Vaidyas record the consultation and Prakriti (dosha) assessment, then approve a wellness plan with therapies, a diet prescription, yoga and activities and a daily routine. Plans are versioned, so every revision during the stay is kept.
How does the software keep guests safe during therapies, meals and medicines?
Contraindications and procedure-specific consent gate therapy sessions, a session cannot start on equipment that is overdue for calibration or not cleaned since its last guest, every meal is checked against the guest’s allergies before it is served, and reactions — during a session, after food or to a herbal medicine — escalate to the guest’s practitioner of record.
Does it check herbal medicines against a guest’s other medicines?
Yes. The guest’s own medicines are recorded at intake, and every herbal prescription is checked — by the herbs in its formulation — against them and against the guest’s other herbal medicines, using interaction rules your clinical team keeps and reviews. A major interaction needs the practitioner’s override with a reason; a medicine declared later that interacts is flagged to the practitioner of record.
Does it help an Ayurvedic hospital prepare for an accreditation or Clinical Establishments inspection?
It keeps the records such an inspection looks at, mapped chapter by chapter to the NABH standards for AYUSH hospitals — procedure consent in the guest’s language, coded diagnoses, investigations, vital signs, pain and fall-risk screening, a medication-administration record with high-alert checks, reconciled discharge summaries, emergencies and referrals, an incident register with root-cause analysis, complaints, quality indicators, staff training and privileges, the centre’s licences, hand hygiene and fire safety checks, equipment calibration and cleaning logs, a biomedical-waste register and compounding batch records, with daily backups and a tested restore. Accreditation itself is granted to your facility by NABH or the inspecting authority; software supports the evidence, it does not certify you.
Can our doctors record a coded Ayurvedic diagnosis?
Yes. The practitioner records provisional and final diagnoses from your centre’s term list, coded to NAMASTE (the national AYUSH morbidity codes), the ICD-11 Traditional Medicine chapter or ICD-10. The final diagnosis goes into the discharge summary, and a morbidity report counts stays by diagnosis.
Can we trace a medicated oil we make ourselves back to its raw herbs?
Yes. Each batch made on site records the raw herbs and bases that went in, from which supplier batch, who made it and the second person who released it. You can follow any batch back to the supplier’s goods received note and forward to every therapy session it was used in.
Is there a guest app, and which languages does it support?
Yes. Guests sign in with a one-time code and see their programme, meals, therapies and bill, give daily feedback, rate sessions, raise a concern and get reminders by push or WhatsApp. The app is available in English, Hindi, Malayalam, German and Russian.
How does billing work for all-inclusive Ayurveda packages with GST?
Therapies, consultations and meals included in a package are tracked as entitlements and consumed, not billed again. Extras such as additional therapies or herbal products are charged to the folio and issued on a GST tax invoice, with credit notes and GSTR-1 exports.
Can it run our rooms, spa and restaurant as well?
Yes. AtithiSetu is one hospitality platform — Hotel PMS, Spa & Wellness, Restaurant POS, Events, Accounting, Inventory and HRMS share one login and one set of books, so an Ayurveda resort does not need separate systems for rooms, therapies and dining.
Is guest health information secure?
Clinical records are restricted to clinical roles, consent is recorded, every opening of a clinical record is logged, and data is hosted in India in line with the Digital Personal Data Protection Act, 2023.
